This policy explains how we handle personal information collected through this website.
Who we are
This website is operated by the business named at the foot of this page. Our contact details are on the Contact page.
What we collect
When you send an enquiry, we collect the details you choose to give us: your name, business name, business email, state or territory, business type, accounting software, approximate transaction volume, bookkeeping status, the services you are interested in, and any optional details such as a phone or WhatsApp number, website, number of entities or accounts, preferred contact time and additional requirements.
When you use the website we also record limited technical information: the pages visited, the referring website and buttons clicked (for example "Get a Free Quote" or WhatsApp). This information is not linked to your name. We keep a one-way hashed version of your IP address for spam and abuse prevention; we do not store the address itself.
If you use our AI assistant, we keep the conversation for a limited period (see "How long we keep it") so that we can follow up a handover and improve answers.
We do not ask for bank statements, passwords, tax file numbers, tax returns or identity documents through this website. Please do not send them through the enquiry form, the chat or WhatsApp.
Why we collect it
We use your information to respond to your enquiry, assess your bookkeeping requirements, prepare a quote and, if you become a client, set up an engagement. We use aggregated website statistics to understand how the website is used.
How enquiries are stored
Enquiries are stored in a secure database hosted in Australia (Sydney). Access to enquiries is limited to authorised staff with individual logins, and administrator accounts are protected by additional sign-in verification.
Service providers that process data
We use trusted providers to run this website:
- website hosting and analytics;
- database and authentication hosting (stored in Sydney, Australia);
- transactional email delivery for enquiry notifications and acknowledgements;
- an AI service that generates assistant replies (only the conversation text is sent; we do not send your enquiry details);
- spam protection for our forms.
These providers may process information outside Australia. We choose providers that maintain appropriate security and confidentiality.
Our Malaysia-based delivery team
Our bookkeeping is delivered by authorised team members based in Malaysia. If you become a client, or when we assess your enquiry, these team members may access your information from Malaysia to provide our services. They access it only through our secure systems and your accounting software, with individual logins and only the access their work requires.
Access and security controls
- individual user accounts with role-based permissions;
- additional sign-in verification for administrators;
- encrypted connections (HTTPS) for all website traffic;
- an audit record of material changes made in our admin system;
- prompt removal of access when a team member leaves or no longer needs it.
How long we keep it
- AI assistant conversations: deleted after 30 days unless linked to an enquiry, in which case the transcript is deleted after 30 days and the enquiry is kept;
- enquiries that do not become clients: anonymised 24 months after the last contact;
- client records: kept for the period set out in the engagement agreement and as required by law.
You can ask us to delete your enquiry sooner, subject to any legal obligation to keep it.
Your choices
You can ask to access or correct the personal information we hold about you, or ask us to delete it. You can also contact a person at any time instead of using the AI assistant.

Changes to this policy
We may update this policy. The version and effective date are shown on this page.
